The AI Setups Builders Actually Ask Me For

Every week I run AI implementation calls and one-on-ones with builders. Different businesses, different sizes, same handful of requests come up again and again. So rather than keep explaining them one at a time, here are the five AI setups builders actually ask me for, and why each one earns its keep.

1. Financial modelling connected to your accounting

This is the big one. Connect your accounting to Claude and you can talk to your real numbers. Ask it for a break-even, model your overhead recovery, forecast next financial year, or scenario-plan a decision like hiring a project manager versus adding another set of hands on site. Work that used to mean a spreadsheet you dreaded and a bill from the accountant, done in a conversation. If you want the mechanics behind the numbers, I covered them in how to actually price a job.

2. Scopes of work

The single best risk-reducer I set up with builders. Point AI at your plans, your job data and your standards, and have it write a sharp, trade-by-trade scope of work that kills variations before they start. Build it once as a reusable skill and every future job generates its own. I wrote a full walkthrough in generate bulletproof scopes of work with AI.

3. Lead intake on autopilot

This one quietly wins jobs. A prospect fills in your enquiry form, the discovery call gets recorded, and by the end of the day AI has produced a clean summary and drafted a follow-up email. Same day, every time, with no lead going cold because you were flat out on site. Builders who set this up look ten times more organised than their competitors, because they respond while everyone else is still catching up.

4. Hiring without the blank page

When it is time to hire, most builders stall on writing the job. AI clears that in minutes. Describe how your best people actually run a job and it will draft you a proper position description and a job ad built around the real role, not a generic template. Pair it with a simple application form on your website and you have a hiring pipeline instead of a scramble.

5. Estimating gap analysis

Before you send a price, drop your estimate, the plans and your subcontractor quotes into Claude and ask it to hunt for what is missing. It flags the gaps with a traffic-light risk rating, the red items being the ones that will hurt you most, and you work through them until everything is green. Builders routinely catch tens of thousands of dollars of missed scope this way, on a single job, before it becomes their problem.

The thread running through all of it

None of these are magic, and none of them are hard. Every one is the same move: point AI at your real information, with a clear instruction, and let it do the work you never had time for. The builders getting ahead are not the most technical ones. They are the ones who set up two or three of these and actually use them. The mechanics of connecting it all up are in Claude and connectors.

If you want a hand getting these running in your business, with people who have already done it, that is exactly what Future Builder is for.

Cheers Luke
