I Built a Full Business Case in an Afternoon with AI

A mate asked me recently to help him figure out whether buying a bigger farm actually stacked up. Normally that is a job you hand to an accountant, you wait a few weeks, and you pay a few thousand dollars for a report. We did it in an afternoon, sitting at the kitchen table, just talking to AI. What came out the other side genuinely surprised both of us, and it is why I want every business owner to understand what is now possible.

What we actually did

We did not build a spreadsheet by hand. We talked. I fed in the assumptions as he rattled them off: the purchase price, the income he expected, the running costs, the finance. As we went, the AI built the model. By the end of the afternoon we had a complete business case:

  • An executive summary a lender could read in two minutes.
  • A month-by-month cash flow, so he could see the lean months coming before the income kicked in, and plan a line of credit to bridge them.
  • Scenario analysis: a bear case, a base case and a bull case, so he was not betting the farm on everything going perfectly.
  • A five-year forecast.
  • A clean lender page to take to the bank.

That last point matters. This was not a rough back-of-the-envelope guess. It was structured, presentable, and good enough to put in front of a lender.

Why this matters far beyond a farm

I know this is a building and construction audience, so let me connect it. The exact same approach works for the decisions you are weighing up right now:

  • Should we take on a bigger class of job, and does the cash flow survive the longer build?
  • Should we open a second location, or buy out a competitor?
  • Can we afford to bring on another project manager, and at what point do they pay for themselves?
  • What does next year actually look like if we grow 20 percent, or if the market drops?

Financial modelling used to be a specialist skill that cost real money and real time, so most business owners simply never did it. They made the biggest decisions of their lives on a feeling. That barrier is gone. You can now model a major decision properly, in an afternoon, in plain English.

The honest caveat

AI builds the model. You bring the judgement. The numbers are only as good as the assumptions you feed in, so use real quotes and real figures where you have them, and be honest in the bear case. And for a genuinely big decision, still run the final model past your accountant. The difference now is that you walk into that conversation with a proper model already built, instead of a shoebox of receipts and a hope.

This is the shift I keep banging on about. AI is not just for drafting emails. Pointed at the right problem, it does the work that used to be locked behind a specialist and a big invoice. Learning where to point it is the whole game, and it is what we teach inside Future Builder.
